# Data retention FAQ

Businesses want strong security and protection of their data from the cloud applications. We are constantly enhancing the Workato platform to deliver robust data protection regime to our customers.

# Overview

Workato data retention policy:

  • Stores data for a maximum of 30 or 90 days
  • Gives you control over the data retention period

Additionally, you can stream the job history and user activity log to an external logging application:

  • Job history streaming lets you stream the jobs data to your choice of security information and event management (SIEM) application. Workato supports S3, Sumo logic, Splunk, Datadog, and others using the standard HTTP-based endpoint.

Maximum data retention period and ability to customize the data retention period depends on the pricing plan and add-on you have purchased. Reach out to your Customer Success Manager to learn more.

# Customizing data retention period

Customer administrator or account owner can navigate to Account Settings > Data retention to configure the data retention period.

  • Select data retention period unit, one of Hours or Days
  • Specify number of hours or days depending on the period unit selected

What is the Workato data retention policy?

Data retention period configuration is available with the Enterprise Workspace or Advanced Security and Compliance (ASC) add-on. Table below shows the data retention policy supported by the Workato platform.

What if we have configured custom data retention period?

If your custom retention value is greater than the maximum retention policy, then it will be reset to the maximum retention policy of 30 or 90 days depending on your plan or whether you have purchased the Advanced Security and Compliance add-on.

If your custom retention value is less than 30 days, then it will not be affected.

When does the data get deleted?

All data that is older than the past 30 or 90 days, whichever applies to your account, will be deleted permanently.

What types of data will be deleted?

Following types of data related to a job will be deleted:

  • Trigger event data
  • Job summary like title
  • Custom job report
  • Input and output details of each step in the recipe

How can we store data for longer than 30 or 90 days?

You can take advantage of on the going-forward basis job history streaming to store data for a longer term in your event management application of choice. Workato supports S3, Sumo logic, Splunk, Datadog, and any other application or service that can be accessed over HTTP endpoint.

What's included in the Advanced Security and Compliance add-on?

The Advanced Security and Compliance add-on provides maximum of 90 days of data retention period and allows you to configure custom data retention period to a value less than 90 days with a minimum of as low as 1 hour setting. Reach out to your Customer Success Manager to learn more.

What happens if Advanced Security and Compliance add-on is turned off in case we decide to not purchase it?

If you do not purchase Advanced Security and Compliance add-on then your account will be set to maximum of 30 days retention period and no option to configure custom retention period. All the data that is older than the past 30 days will be deleted permanently.
